Career opportunity: Our subsidiary, Harbourfront Wealth Counsel is seeking a permanent, fulltime Operations Manager to play a key leadership role supporting our investment counsel and advisor teams. As Operations Manager, you will lead the day to day operational and administrative activities of the business, overseeing workflows, trading support, compliance administration, and continuous improvement initiatives. This role offers location flexibility, with the position based out of Vancouver, BC, Winnipeg, MB, or Toronto, ON.
You will be responsible for:
Leading and developing the operations team, providing clear direction, coaching, and performance management to support a high quality client and advisor experience.
Managing end-to-end operational workflows, including account openings, client documentation, and ongoing maintenance, ensuring accuracy, timeliness, and regulatory compliance.
Overseeing the processing of client transactions and financial requests such as deposits, transfers, withdrawals, and wires.
Ensuring accurate daily, monthly, and quarter end reconciliations across operational systems, including Ndex, and resolving discrepancies as required.
Coordinating and approving trade execution, foreign exchange activity, corporate actions, and weekly trade and fee files.
Maintaining oversight of client data integrity, including RRSP/TFSA contribution monitoring and client information updates.
Managing yearend operational deliverables, including client fee summaries, tax reporting support, and seasonal client communications.
Overseeing the preparation of operational reports, meeting materials, templates, and standardized documentation for internal and advisor use.
Maintaining internal reference materials, including fund facts, forms, IPS documentation, and advisor resources.
Leading continuous improvement initiatives to enhance efficiency, controls, scalability, and service quality across operations.
Collaborating closely with portfolio managers, estate planning consultants, compliance, and other internal partners to support business objectives.
The ideal candidate for this position has:
Proven leadership experience building, coaching, and developing high‑ performing operations teams within a private wealth or financial services environment.
Strong organizational and prioritization skills, with the ability to manage multiple workflows, deadlines, and competing priorities effectively.
Demonstrated experience monitoring, measuring, and reporting on operational performance using key performance indicators (KPIs) to drive accountability, continuous improvement, and service quality.
A client centric mindset, with a clear understanding of how operational accuracy, timeliness, and consistency impact the advisor and client experience.
Experience leading and supporting change initiatives, including process improvements, system enhancements, and evolving business requirements, while maintaining team engagement and service standards.
Strong analytical and problem-solving skills, with a proactive, solutions oriented approach to identifying root causes and implementing sustainable improvements.
Advanced proficiency with Microsoft Office and experience working with investment operations platforms, with the ability to take ownership of workflows and systems rather than simply execute tasks.
Excellent written and verbal communication skills, with the ability to convey complex operational concepts clearly to advisors, internal partners, and senior leadership.
Demonstrated ability to work collaboratively across functions while exercising sound judgment and independence in decision making.
Salary Range: $85,000 - $115,000 per annum (actual salary offered will be commensurate with education, experience, and internal parity).
