Career opportunity: Our subsidiary, Harbourfront Wealth Council, is looking to hire a permanent full-time Administrative Assistant for one of our Investment Counsellors based in the Greater Toronto Area, in a hybrid working model. Reporting to the Portfolio Manager the ideal candidate must have meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills. You will be responsible for:
Enhance Portfolio Manager’s effectiveness by providing information management support ;
Handle incoming telephone calls and emails;
Preparing account opening documents.
Processing client account transactions.
Completing financial requests, i.e., wire transfers and deposits, etc.
Maintaining records and files in accordance with regulatory guidelines according to established formats. Assisting with client inquiries and meetings.
Utilizing various custodial or third-party software programs for client management and administration. Maintaining client correspondence records and databases.
Assisting with client meetings, preparation of presentation/meeting materials, correspondence, creation of reports, spreadsheets and the completion of special projects.
Keeping the electronic client documents stored on the network up-to-date and located in the appropriate directories according to existing procedures.
The ideal candidate for this position has:
Previous experience in an administrative, client service, or support role, ideally within financial services or a professional services environment;
Experience utilizing NDEX and NBIN Custodian systems.
Advanced computer skills including proficiency with MS Office (Word, Excel and Power Point), Docusign, and the ability to learn new programs.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and calendars effectively;
Excellent written and verbal communication skills and a professional, client-focused approach;
High attention to detail and comfort handling documentation, data entry, and confidential information;
A proactive, dependable mindset and the ability to work well both independently and as part of a team.
Salary Range: $55,000 to $70,000 per annum (actual salary offered will be commensurate with education, experience, and internal parity) plus the ability to further increase total compensation through bonusing.
