This permanent position plays a key role in supporting day-to-day HR operations, employee administration, and HR programs across the organization. Harbourfront Wealth Management is seeking a highly organized and detail-oriented Human Resources Administrator to join our growing team in Vancouver, BC. This permanent position plays a key role in supporting day-to-day HR operations, employee administration, and HR programs across the organization. The successful candidate will be passionate about delivering exceptional service, maintaining accurate records, and ensuring a positive employee experience in a fast-paced environment.
You will be responsible for:
- Prepare employment letters, HR documentation, and other correspondence as required;
- Maintain accurate employee records and ensure all HRIS data is up to date;
- Process employee lifecycle transactions including new hires, transfers, promotions, compensation changes, and terminations;
- Coordinate and administer onboarding activities, ensuring all required documentation is completed and submitted;
- Provide administrative support to HR Senior Management;
- Support offboarding processes and maintain accurate records related to employee departures;
- Assist with vacation eligibility tracking, and other employee programs;
- Monitor employee eligibility to work in Canada and coordinate with external immigration counsel when required;
- Ensure HR files, systems, and documentation remain compliant with internal policies and applicable legislation;
- Assist with the development, implementation, and communication of HR policies, procedures, and programs;
- Support employee engagement initiatives, internal communications, and HR projects as needed;
- Coordinate training sessions and assist with the administration of learning and development initiatives;
- Provide administrative support for recruitment activities from time to time, including scheduling interviews, preparing offer documentation, and coordinating candidate communications;
- Generate HR reports and assist with audits, reporting, and data analysis;
- Perform other HR and administrative duties as required.
The ideal candidate for this position has:
- 1 year administrative experience, with proven ability to manage documentation, data entry, scheduling, coordination, and competing priorities with accuracy and professionalism;
- A strong interest in building a career in Human Resources, with enthusiasm for learning HR processes, employee administration, and best practices;
- Previous HR experience is considered an asset, including exposure to onboarding, employee records, recruitment coordination, or HRIS systems;
- Excellent attention to detail and a high level of discretion when handling confidential employee information;
- Strong communication and interpersonal skills, with a service-oriented approach when supporting employees, candidates, and internal stakeholders;
